Pilates Membership – Terms & Conditions
Location: Unit 1 Rousdon Car Garage

1. Membership Agreement

These Terms and Conditions outline the agreement between The Pilates Collective by Courtney Maunder (“we”, “us”, or “our”) and you (“the member” or “you”).

By purchasing a membership or attending a class, you confirm that you have read, understood and agree to these Terms and Conditions.

2. Membership Structure & Payments

  • All memberships begin with a 16-week minimum commitment.

  • Memberships run in 4-week billing cycles, with payment taken every 4 weeks.

  • After the initial 16-week period, memberships continue on a rolling 4-week basis.

  • Payment is taken via agreed method (direct debit, standing order or card payment) on the scheduled billing date.

  • Membership fees are non-refundable and non-transferable.

  • Prices are subject to review. Members will be given a minimum of 30 days’ notice of any changes.

It is the responsibility of the member to ensure that all class credits are booked and used within each 4-week period.

3. Cancellations

  • Memberships may be cancelled after the initial 16-week commitment period.

  • A minimum of 30 days’ written notice is required.

  • No refunds will be provided for unused sessions before cancellation takes effect.

4. Class Bookings & Attendance

  • Classes must be booked in advance via our booking system.

  • Spaces are limited and allocated on a first-come, first-served basis.

  • A minimum of 24 hours’ notice is required to cancel a class without losing the credit.

  • Late cancellations or no-shows will result in the session being deducted.

  • Repeated late cancellations or no-shows may result in loss of booking privileges.

  • We reserve the right to amend the class timetable or change instructors where necessary.

5. Credit Rollover Policy

To offer flexibility while maintaining fairness:

  • Members may roll over:

    • 1 credit (for lower-tier memberships), or

    • 2 credits (for higher-tier memberships).

  • Rolled-over credits must be used within the first 7 days of the new 4-week period.

  • Credits cannot be transferred beyond this timeframe.

6. Pausing Your Membership

Memberships may be paused after the initial 16-week commitment.

Conditions:

  • Maximum of 2 pauses per calendar year

  • Each pause must be:

    • Minimum of 2 weeks

    • Maximum of 8 weeks

  • A minimum of 7 days’ written notice is required

  • Pauses cannot be applied retrospectively

Pauses are not permitted during the initial 16-week commitment, except in exceptional circumstances (such as medical reasons or injury), which will be considered at our discretion.

This policy allows us to maintain a high-quality, small-group experience while supporting members fairly and consistently.

7. Health & Safety

  • You are responsible for ensuring you are fit and well enough to participate.

  • Please inform your instructor of any injuries, medical conditions or changes in your health prior to class.

  • We recommend consulting your GP before starting any new exercise programme.

  • All studio safety and hygiene guidelines must be followed at all times.

8. Liability

Participation in classes is at your own risk.

While every care is taken to provide a safe environment, The Pilates Collective by Courtney Maunder is not liable for injury, loss or damage sustained during classes or on the premises, except where negligence is proven.

9. Conduct

  • Please arrive on time.

  • Phones must be on silent during sessions.

  • Respect towards instructors and fellow members is expected at all times.

Inappropriate or disruptive behaviour may result in termination of membership without refund.

10. Personal Belongings

We cannot accept responsibility for loss or damage to personal belongings brought into the studio.

11. Photography & Social Media

Occasionally, photographs or videos may be taken for marketing and social media purposes.

If you do not wish to appear in any content, please inform your instructor prior to class.

12. Data Protection

Personal information is handled securely and used only for bookings, communication and relevant updates, in accordance with UK GDPR regulations.

13. Amendments

We reserve the right to amend these Terms and Conditions at any time. The most recent version will always be available upon request or on our website.
